Custom dashboards and reports

Dashboards and reports we build for your event

Some questions come up on every event. How full is each session? Who is on the waitlist? How did registration go? Our team builds a page that answers each one, on your own site, so you can look it up without emailing us. This guide shows what we have built and how to ask for one. To click through a live example, open demo.jumbo.live.

What we build

A dashboard is a live view of how full things are. Your team opens a link and reads the numbers, so nobody has to email us for a count before a venue call or a catering order. These pages are built by us for your event. They are not settings you switch on.

A live view of your numbers

Registered, seats left and percent full for each session or location. The counts update every time the page loads.

A waitlist you can work from

One table of everyone waiting, oldest first, that you can search, filter and export.

Files and reports that arrive on their own

Exports to a shared folder on a schedule, and a report page to share after the event.

The capacity dashboard

This is the one teams ask for most. It is a private page on your event site, and only your signed-in team can open it. Sessions sit in groups by round, and each round has a table of seats. The sample below uses JumboCon 2026 sessions. Hover over a number to see what it marks.

Capacity dashboard with JumboCon 2026 sample sessions. On a phone, scroll sideways to see every column
  1. Round, day and timeEach round is its own table, so attendees choose one session per round
  2. SessionThe title with its subtitle underneath, as it reads on your registration form
  3. RegisteredA live count of registrations for the session, recounted on every page load
  4. CapacityThe session's limit. We update it on the dashboard whenever the limit changes
  5. Seats leftCapacity minus registered, worked out for you. A full session shows 0
  6. FilledA thin bar and a percentage, so a nearly full session stands out
  7. WaitingPeople on the waitlist for the session, also counted live

Registered and Waiting are counted, Capacity is set. Registered and Waiting come straight from the records, so they cannot fall out of step. Capacity is the limit we entered, so when you ask us to change a limit, we change it on the form and on the dashboard together. For how limits work on the form itself, see Sessions and seat limits.

The waitlist table

Below the capacity tables sits everyone who joined a waitlist, in one table. You can narrow it to one session or one type of attendee, search it and export it. The oldest request is at the top, which is the order to invite people in.

What your team can do

  • Filter and searchShow one session, one type of attendee, or anyone matching a name or email
  • Export what you seeCopy, CSV, Excel, PDF or Print. The export follows your filter, so one session's list is two clicks
  • Choose your columnsHide the ones you don't need before you export
  • Collect what you'll need laterThe waitlist form asks for the same details as registration, so nobody has to be chased for a missing answer

When a seat opens

  • You tell us the new limitSend an email when a room gets bigger or someone cancels a block of seats
  • The session reopens by itselfThe full label and the waitlist link on the form go away once seats exist
  • You invite people in orderExport the list, oldest first, and email the people at the top. Tell us if you'd like us to send it
  • They register as usualThey use the same form as everyone else, so they get a confirmation and a seat that is really theirs

We don't register waitlisted people for you. They asked to be on a list, not to attend, and a surprise confirmation can waste a seat on someone who already made other plans. New seats open to everyone, not only the waitlist, so we suggest raising the limit and sending your invitations within a few minutes of each other.

Other views we've built

The same approach works for other questions. Here are three we have built before. Each one is adjusted to your event, so tell us what you'd like to see and we'll say what is possible.

Registrations by location Location ALocation BLocation CLocation D 112 of 140118 of 12074 of 100Closed Limit for each location

Registrations by group or location

Each group or location gets its own count and its own limit. A location that reaches its limit shows as closed, and it reopens on its own if the limit goes up.

Good for: multi-city tours, regional meetings, organizations with a seat allowance

Shared folder Your whole team registrations-week-03.csvNewest registrations-week-02.csv registrations-week-01.csv Every Monday morning

Daily or weekly exports to a shared folder

A fresh export of your registrations lands in a shared folder on the schedule you pick. Your team, or a partner such as a venue or caterer, opens the latest file without asking anyone.

Good for: venues, caterers and finance teams who need the latest list. For exports you run yourself, see Registrations and exports

Event report Registrations Seats filled Site visits Registrations over time Site visits by day

A post-event report page

One page you can forward to your leadership. It opens with your totals, then shows registrations over time with key dates marked, and the visits your site had. Sections appear only when there is data for them.

Good for: thanking sponsors, planning next year, showing what the event drew

How a dashboard gets built

You describe what you need to watch. We do the building, and you get a link.

  1. Step 1

You tell us what to watch

Which sessions, locations or groups matter, and what the limits are today. The checklist below lists what we'll ask.

    You send a short email

  2. Step 2

We build it on your site

We add the page to your event site and put it behind sign-in, because a waitlist shows names and email addresses.

    Jumbo builds and checks it

  3. Step 3

    You get a link

Your team opens it and signs in. Nothing to install and nothing new to learn, since it looks like the rest of your site.

You share it with your team

  4. Step 4

Numbers update, limits change by email

The counts refresh on every load. When a limit changes, email us and we update it.

    Both keep it current

Why limits change by email. Limits usually change only two or three times in a registration window, and a wrong one can close a session by mistake. So we make the change for you, on the form and in the dashboard's Capacity column together, and tell you when it's done.

What to ask for

A few answers get us started. Your Customer Success contact is your first stop. For anything else, email support@jumbo.live. Short answers are fine, and we'll ask about anything missing.

Questions to send us

  • What do you need to see at a glance? For example seats left by session, or registrations by location
  • How should things be grouped?By round, day, location or attendee type
  • What is each limit today? And who on your team may ask us to change one
  • Do you want a waitlist? And how you'd like to invite people when a seat opens
  • Who should be able to open it?Your team's email addresses, so we can limit access
  • Do you want files sent to a shared folder? How often, which columns, and who should have the folder
  • Do you want a report after the event?Who it is for and which numbers they care about

Before you ask

  • Your own lists are already in the BackstageManagers can open the Backstage to search and export viewers any time. A dashboard adds what a list can't, such as seats left
  • Ask before registration opens if you canA dashboard is easiest to set up while the numbers are still at zero, though we can add one later
  • Not sure what you needTell us the question you keep getting asked. We'll suggest a view
