Running event day

Before, during and after event day

We check the site with you before event day and handle the switching during it. Your team approves the site and helps attendees who get stuck. This guide also covers what happens after the last session.

The week before

Before anyone arrives, we go through the whole site the way an attendee would. You see the results and approve them.

Step 1

Our check of every page

We open every page, email and form on phones and in the common browsers. We look for wrong dates, broken links and anything that sits badly on a small screen.

We do this. You don't need to be there

Step 2

Screenshots for your sign-off

We send screenshots of the start page, the registration form, the page people land on and the confirmation email. You approve them or tell us what to change.

You do this. Reply with your approval

Step 3

Who to contact on the day

We agree on one contact for event day and how to reach them, and you give us the person on your side who can approve changes. Write both down and share them with your team.

We do this together. Your Customer Success contact is your first stop. For anything else, email support@jumbo.live

Event day run of show

Jumbo does the switching. You tell us when you're ready, and we move the site from one stage to the next. Hover over a number to see what happens at that moment.

Run of show, top to bottom
  1. Check and sign-offThe week before. We check the site and you approve the screenshots
  2. Switch to liveYou tell us you're ready. We change the page from Upcoming to Live. Each attendee's page refreshes on its own, a few seconds apart, so nobody has to reload
  3. Next session switchesWhen a new session starts, we switch the page to it. Pages refresh the same way as at the start
  4. Switch to archivedWhen the event ends, you tell us. We switch the page to Archived. Attendees see your thank-you message and a play button
  5. Right afterReplays go up, a thank-you email goes out and the event report follows

Watching the numbers live

If you'd like to see the room fill, open Stats in the Backstage and choose the Live tab. Pick a channel from the list to see these three numbers for it. You don't need to watch them for the day to go well.

Viewers now

How many people are watching at this moment.

Peak viewers

The most people watching at the same time.

Unique viewers

Different people who have watched, counted once each. Shown for the selected channel and across all channels.

Helping attendees

Most questions on event day are the same few. Each card below is a reply your staff can copy and send as it is. Tap or click inside a reply to select all of it. Change anything in [brackets] to fit your site.

I can't sign in

Here is your personal sign-in link: [paste link]. It works only for you, so please don't forward it. If it doesn't work, check your email, including your junk folder, for your sign-in link. A work address and a personal address count as two different people, so use the one you registered with. If you still can't get in, reply with your full name and the email you registered with, and we'll reach out to you.

Copy the person's sign-in link from the Viewers list and send it only to them. If that doesn't work, have them check their email, then forward their name and email to support@jumbo.live and we reach out to them.

The page won't load

Please refresh the page first. If it still won't load, open the site in a different browser, such as Chrome, or on a different device. Switching between Wi-Fi and mobile data can help too.

I can't hear anything

Please check that your device isn't muted and that the player isn't muted. Hover over the player to open the volume bar and turn it all the way up. If you use Bluetooth headphones or speakers, check that your computer is sending sound to the right one. On a phone, open the player in full screen to find the volume bar.

I can't see the video on my phone

First check that a session is scheduled for the time you're looking. On a phone, open the Home tab and press the Watch button at the top of the screen. On a computer, press the Watch button in the middle of the screen. If you still see nothing, refresh the page.

Tab names differ by site, so check yours before you send this.

Where are the replays

Replays will appear on the site at [agreed time]. Look for the [On-demand] section below the main player, or for Replays in the menu once it appears. We'll email you when they're ready.

Tell us when you'd like replays posted and we'll match the wording here.

Help options we can add to your site

Attendees who can find help quickly send your team fewer messages. We can add any of these, and we set each one up with you before the event.

A help contact in the header

A phone number or email at the top of every page, so anyone who gets stuck sees it straight away.

A help pop-up page

A Help button that opens a pop-up page with quick tips on joining, watching and sound. Most questions are about the basics, so it answers many before they reach you.

A help email button

A button that opens a new email to your support address. Good when you have a person or team ready to answer.

Right after

The event is over, but attendees keep arriving for a while. Before event day, we agree with you on what happens after the last session.

Replays go up

The recordings appear on the site as on-demand videos, so people who missed a session can watch it. Tell us which sessions to post and when.

A thank-you email

Sent to everyone who registered, with a link to the replays. Send us the wording or ask us to draft it.

The event report

A summary of registrations and attendance for your team. We share it after the event and talk through it if you'd like.
